Smart phones and mobile devices make it easier to stay in touch and top of everything you need to get done, but only if you have the right tools to help you. Using the right mobile apps can help you keep track of all your planning and then access it from anywhere, so here is our list of the most useful apps for Event Managers.

Creativity

For planning the theme, venue, decor and menu for an event Pinterest is a brilliant, free tool and is available as an app for your phone or tablet. It allows you to pin photographs of things you find inspiring and then share your photo boards. You can invite your team or your clients to contribute to specific boards so they are involved in the planning.

Venue management

To help you with calculating venue sizes, seating arrangements, number of staff needed for different elements of your event Super Planner is really handy. Unlike the other apps in our list, this one isn’t free but if you are serious about a career in Event Management you’ll want to consider using it.

Task management

As we already know, event management requires excellent project management and organisation skills. Trello is a free platform and app you can use to manage and track your task lists for all aspects of your event. You can also use it to coordinate an event management team to assign tasks so everyone knows who is responsible for what.

Project documentation

Anyone who has taken one of our courses will know how important it is to create and maintain the relevant documents, from meeting minutes to Terms and Conditions with suppliers. There are two handy free apps for this: Dropbox and Evernote. With Dropbox you can store all you working documents in the cloud so you can access them from your smart phone. Evernote allows you to make notes on the move using a mobile device including photographs and web clips. Again you can keep all of your notes in one place and access from anywhere, as long as you have an internet connection.

Team communication

Last, but not least, when you are running a team that need to communicate well to produce a professional event it can be really difficult to stay in touch when you are all out and about. Slack is a communication tool for teams that replaces email with chat room style conversations, which are easier to manage on a mobile phone than email and allow more flexibility than text messages.
